Removing Customers

I want to know how to remove a deceased customer and if by doing so do you lose all the invoice history?

Also how do you close a customer account? I know how to change it so that it isn't set up for charges although it will still allow you to make charges to it. I don't want any charges even being attempted.

To delete a customer, go to Utilities>Customer Screen. Click on the Name button and find the customer. Once the customer is up, click on Edit>Remove Customer. You will lose all service history.

There currently is no way you can force the program to prevent charges. That's something you'll need to do with your employees.

Adding to what Ric says, while you cannot prevent the charge operation itself, you can password protect the Charge option in the Apply Payments window. In Setup - Program Security - Change Protected Areas, it is listed alphabetically as Apply Payments - Charge.

If your employees password doesn't include this protected area, they will see 'access denied'.

A thought on removing a customer:

Be really sure you want to do this. If deceased John Doe's son Fred Doe inherits the vehicle, you will want to transfer ownership so that the records are intact. I would probably only delete a client record that had no service history attached to it.

One thought on how you can handle this: If you want John Doe's name to stop showing up in the "D" client tab, try putting an (*) in there (*Doe) and it will show up under the (*) tab just above (A).

This is how I handle a deceased customer. Go to the customer screen. I (DECEASED) Just after the last name of the customer. This keeps the history intact. Also it lets you know right away the person is deceased.
