So every time I order something from World Pac and I get to the point where I need to put a work order # in there's all ready info. in there that says repair order #. If I try to put a P.O. # after that it does not show up on the invoice because there's only so many characters available. I have to highlight the "repair order #" and hit backspace to delete that info. so I can put in our work order # so it shows up on the invoice so when the part comes in I know where to bill it. Is anyone else dealing with this problem. With Car Quest or Napa our work order # is automatically generated onto invoice. :cry:

I hate always repeating the fact that I'm not real savvy on these issues but fact is I'm not. I want to try to answer the best I can especially since this has been sitting for two days with no reply. I also use Pac and Quest a lot and rely on po's. I'm not sure what you mean about knowing where to bill it since all my invoices where parts are ordered on line automatically transfers onto my order and I can track by po if necessary. PO's are password protected so it relieves any possibility of a tech ordering and removing a part from an order and being able to erase any trace. Any phone orders from my vendors is required to carry the work order # and if it doesn't I don't pay. I also require a second copy of any part that's ordered and at the end of each week they are delivered to me personally from the vendors I use heavily that are not on line orders. There are four dealers that are delivering to my shop 20 times a week or better.

I guess what I am trying to say is when I order parts from Any of my suppliers their web site automatically recognizes my work order # and uses it as a P.O. When I order from World Pac they have a built in ( Repair Order # ) so my work order # get cut off. At that point I do not know what the work order to bill the parts on is.

I am having a similar problem. We don't use the inventory part of the program, so I am not too familiar with the PO system. When I order parts online from Napa, it shows the estimate number, not the work order number. So although the parts are already on the invoice, the billing information is not(invoice number, category, etc). So when I get the invoice from Napa, I sometimes have to search through work orders to figure out which one that part belongs to.

it is quite possible that parts were ordered during the Estimate phase and that gets transmitted to NAPA. Since an RO # has not yet been generated it can't be sent with your order.

On our side, once the EST is converted to RO, the relationship is preserved. That is to say that during the PO receive parts phase, the option to 'Receive parts to ROs wherever possible' does still work because Manager knows that EST is now an RO # and can dispatch the parts to that RO (even though it was an EST # when parts were ordered).

But nothing changes on the NAPA paperwork because all that was available was the EST # at the time.

We are converting estimates to repair orders before we order parts, our estimates are converted before we touch a vehicle. I have thought about starting from a repair order instead of estimate in the new screen, but I have a lot of fleets that need a quote before they issue a po number, therefore I always start with estimate.

Starting with an Estimate is fine; you can access the catalog and transfer parts and price check. My point is it is impossible to transmit an RO # that doesn't exist yet.

If you believe you are ordering at the RO stage and the order is transmitting an Estimate #, please reference this with technical support.
