Cut & Paste Doesn't Include Ref/Inv #?

AS I COMPLETE A WORK ORDER I TRY TO LIST MY PARTS DIRECTLY UNDER THE ASSOCIATED LABOR DESCRIPTION (ON SCREEN). SO, I WILL CUT AND PASTE MY PARTS A RELOCATE THEM. AS I DO MITCHELL WILL DROP THE REF / INV # THAT I PUT IN FROM MY SUPPLIERS INVOICE.

That is correct; certain shop mgmt data fields are not included in the Cut or Copy commands. The reason is that the PO # (Ref/Inv) would certainly be different if the item was pasted to another order and could fool you.

Unfortunately, with the current software we cannot program Cut & Paste to behave one way between orders and another way when the paste is still within the same order.

We are aware of this behavior and it is part of future release discussions.

Well I guess that explains one of my nightmares lately, this isn't very handy. Hopefully fixed REALLY soon. I have wondered why I have to go back in and re-enter things like this. I though it was computer issues.

How long has this been an issue we just started seeing this lately.

NOT SURE HOW LONG IT'S BEEN THAT WAY. I AM GOING TO SPEND SOMEIME LOOKING BACK THROUGH SOME OLD ORDERS TO GET AN IDEA. I GUESS I NEED TO BUY MY SERVICE WRITER LUNCH TOMORROW.

The cut & paste parameters pre-date the Ref/Inv# field by several years.

I know you can't do anything about it Tim but this is crazy. I guess i have been burnt by this issue longer than i knew. This will be great to know in the future when i have no idea the invoice number for warrenty. ouch. But hey you'll fix this as soon as you can, if you can, so I'm :D knowing that.

Any hopes? i just had a customer come in here that had wanted to fix two pages of stuff. now he only wants to do $200.00 of the worst stuff. So after Copy and pasting to revision all of this info is gone. It'll only take me oh about an hour to pull out all of the invoices to fix it.

If you are no longer doing the work, what relevance would the invoice numbers be now?

Like Ric, I'm trying to see the problem. It sounds like you didn't sell some of the work and you are cutting and pasting it back into a revision and the invoice numbers of where you purchased the stuff is lost. Your going to return the purchased parts, so the invoice number will be necessary, but you did enter in in your purchase order, didn't you? You won't have a warranty issue...so I don't see a problem. :?

That much is certainly true.

Given the choice between shop chaos and inconvenience, we currently have the lesser of the two.

Got it. The returning next week is a different scenario. FWIW, we write down the invoice numbers when cutting and pasting parts items into the RO. We usually have to do this to arrange parts below the correct labor item.

I've never run into your situation because we charge the customer for any parts ordered in advance. I started doing this after being burned a few times. Now the customer pays in advance and we still get the occasional part that sits here for 6 months until they come by to pick it up or have it installed. :shock: At least this way it is their money tied up. :)

I have had a few customers decline to do the work that they had approved a few minutes earlier. If I can't convince them to do the work, then I usually send those parts back. Sometimes they come back a week or month later like they said they would, but most times they don't. I'd rather do a return than store the parts.

I can't see this being a daily, weekly or even monthly occurance for most shops. I would expect that ALL data fields would copy if I am moving forward in the workflow. I tried using the Special Order function to move the ok'd work forward in the workflow, leaving your other approved work alone on the RO. You still lose invoice data, but less of it this way. :cry:

Still, that would be my recommendation as a temporary workaround. Move the fewest number of parts as you have to. That will minimze the impact.

Personally, I feel that the invoice field should automatically be populated when I fill in the invoice number on my PO. Isn't that why we have computers...to do the work for us?

Sorry, guess I was venting more than anything. From this point forward I will take the invoice numbers and put them in with the description.

I normally don't have issues with this but this time I had stuff from Auto Value, Car Quest and some from the dealer. Otherwise I could pull out just one invoice and be OK.

We understand. It's tough out here, sitting in our leather chairs in our air conditioned offices and pushing those tiny little buttons on our computers. :P

Well, my seat isn't leather, it is vinyl. and other than customers interupting the Tour de Dope (oops i ment France) it's all good here in my office! Oh by the way we have the Yellow Jersey by 1'53". GO ALBERTO.
